Welcome to Pikka AI. Pikka AI, along with its sub-brands Pikka Talk and Pikka Speech and Pikka Doc, are operated by Translife Group Sdn. Bhd. ("we", "our", or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our websites, use our applications, and access our services globally.

2. Information We Collect

We may collect personal information that you voluntarily provide to us when you register on our platforms, express an interest in obtaining information about us or our products, or otherwise contact us.

• Personal Data: Name, email address, phone number, and account credentials.
• Audio, Transcription, and Document Data: Given the nature of our AI translation, interpretation, transcription, and document translation services, we may process audio input, generated transcripts, uploaded documents, and translated files. We employ strict security measures to ensure this data is processed securely and with respect to user privacy.
• Usage Data: Information automatically collected when you use our services, such as IP addresses, browser type, operating system, and interaction data.

3. How We Use Your Information

We use the information we collect or receive to:

• Facilitate account creation and logon processes.
• Deliver and facilitate the delivery of our AI translation, interpretation, and transcription services (Pikka Talk, Pikka Speech, and Pikka Doc).
• Improve and optimize our AI models and service performance, subject to user consent and data anonymization where applicable.
• Respond to user inquiries and offer support.
• Ensure legal compliance and enforce our terms and policies.

4. Global Data Protection and Legal Compliance

We operate globally and recognize the importance of complying with international data protection frameworks, including but not limited to the General Data Protection Regulation (GDPR) in the European Union and the California Consumer Privacy Act (CCPA) in the United States.

If you are a resident in the European Economic Area (EEA) or UK, we process your personal data based on legitimate interests, fulfillment of a contract, or your explicit consent.

6. Data Retention and Security

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Policy, unless a longer retention period is required or permitted by law. We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process.

Speech processing and retention

Pikka Speech processes live audio through contracted speech providers. Different stages of that pipeline carry different retention terms, so we state them separately rather than as a single promise:

• Speech synthesis — the translated voice attendees hear. The provider retains neither the text we send nor the audio it returns, and nothing from this stage is stored at rest.
• Speech recognition and translation — your audio, transcripts and translations are not used to train or improve any provider’s models. Inputs and outputs may be retained by the provider for a limited period solely to detect abuse of their service, and are then deleted.
• Captions, replay and transcripts — live captions are held only while the room is open. Replay media and official transcripts are retained for the period the organizer selects.

Our speech processing providers maintain SOC 2 Type 2 and ISO/IEC 27001:2022 certifications and operate under GDPR and HIPAA safeguards. These certifications are held by our providers; Pikka does not itself hold a SOC 2 Type 2 or ISO/IEC 27001 audit.

7. Zoom Integration (Pikka Speech)

Pikka Speech can send live captions into a Zoom meeting. This section explains what Zoom information we use when you choose to connect your Zoom account, and what we do not.

What the integration does. It sends caption text into your Zoom meeting — the original speech first, then the translation. It does not join your meeting, does not record anything, and never receives audio or video from Zoom.

Information we receive from Zoom. When you connect your Zoom account, you approve four read-only permissions, and we receive only:

• Your Zoom account identity: the account identifier and basic profile details Zoom returns, so we can show you which account is connected and tie the connection to your Pikka Speech account.
• Your own upcoming meetings: the topic, time and meeting number of meetings scheduled on your account, so you can choose which meeting should receive captions.
• The selected meeting's details, to confirm the meeting belongs to your account.
• A caption token for the selected meeting, which is the address Zoom issues for sending captions into that meeting.

We do not request or receive Zoom recordings, chat messages, participant lists, contacts, or any other Zoom content.

What we store, and for how long. We store the access and refresh credentials Zoom issues, your Zoom account identifier, and the meeting you selected. Credentials are encrypted before they are written to disk, using a key held on our servers, and are never sent to your browser or written to our logs. Meeting topics and times are fetched from Zoom when you open the meeting list and are not retained afterwards. Caption text is retained as part of your event transcripts, on the basis set out in Section 6 above.

How to remove it. You can disconnect Zoom inside Pikka Speech at any time, or remove the app from your Zoom account. Either action deletes the stored credentials and stops any captions currently being sent. Zoom notifies us when you remove the app, and we delete the connection on receiving that notification. Caption text already delivered to a Zoom meeting is held by Zoom under Zoom's own policies and cannot be withdrawn by us.

Sharing. We do not sell Zoom information, and we do not share it with third parties beyond the service providers that operate Pikka Speech's own infrastructure.

Using the integration without connecting an account. You can instead copy the caption token from your own Zoom meeting and paste it into Pikka Speech. In that case we receive no Zoom account information at all: we hold only that meeting's caption address for as long as captions are running.
